COLLECTIONS, BILLING & FINANCIAL SERVICES

IT for collection agencies, billing offices, and financial services firms.

For owner-led businesses that handle other people's money and personal information all day. Secure phones and workstations, locked-down access, and the compliance documentation your clients, auditors, and insurance carrier expect.

Why this work looks different.

A collection agency or billing office runs on phones, workstations, and a line-of-business system full of personal and financial information. Downtime stops revenue the minute it starts. And the data you hold is exactly what attackers want.

You also answer to more people than most small businesses. Clients send security questionnaires. Card processors want PCI evidence. Federal rules require a written security program. Your insurance carrier wants proof of MFA and tested backups. Each one asks the same questions in different words.

The problems we hear most.

Audit and questionnaire season never ends. A client wants a SOC 2 report or a 200-question security review. Your processor wants a PCI self-assessment. Nobody in the office knows how to answer half of it.

The FTC Safeguards Rule caught you off guard. It covers collection agencies, tax preparers, and many other financial-adjacent businesses, and it requires a written program, a designated person, and breach reporting.

Access is messier than it should be. Former employees still have accounts. Shared logins on the collection platform. Remote staff on home computers. Each one is a finding waiting to happen.

Phones and systems that can’t go down. When the phone system or the collection platform is offline, nobody is working.

What we do.

Managed IT built for regulated offices. Locked-down workstations, MFA everywhere, tight access controls, monitored and patched systems, tested backups.

Compliance that matches the environment. Written information security programs, PCI support, client questionnaire help, and the documentation that proves it. More on our Cyber Insurance & Compliance page.

Network segmentation and hardening. Keep payment systems and sensitive data separated from everything else, the way auditors expect.

Practical AI, with guardrails. AI can take real paperwork off your team’s plate, but not by pasting consumer data into a free chatbot. We set up approved tools and policies that keep sensitive data where it belongs. See AI for Your Business.

Frequently asked questions.

What kinds of businesses do you support in this space?

Collection agencies, medical billing and claims processing offices (administrative work, not clinical practices), tax preparers and accounting offices, insurance agencies, and other firms that handle consumer financial data. Owner-led businesses, typically 10 to 150 users for fully managed work, or 50+ users with internal IT for co-managed.

Does the FTC Safeguards Rule apply to us?

If you're a collection agency, tax preparer, or another business the FTC treats as a financial institution, very likely yes. It requires a written information security program, a qualified person responsible for it, MFA, encryption, and breach notice to the FTC within 30 days for incidents affecting 500 or more consumers.

Can you help with PCI DSS?

Yes. We've supported businesses through PCI audits, including network segmentation, hardening, scanning, and the evidence auditors ask for.

Our clients send us security questionnaires. Can you help answer them?

Yes. Vendor security questionnaires from your clients are a regular part of this work. We help you answer accurately and close the gaps they expose.

Do you work with our collection or billing software vendor?

Yes. We support the infrastructure your line-of-business software runs on and coordinate with the vendor on application issues, so you're not stuck in the middle.
